Cleaning quote form template: what to ask before giving a price
A cleaning quote form should collect the factors that actually change the job price, so the first reply can be useful instead of another round of basic questions.
Quick answer
Ask for property type or size, number of rooms, service frequency, postcode or area, cleaning type, preferred start date, access considerations and contact details. Add photos only when they genuinely help estimate the work.
Fields to include
- Name, email and phone number
- Postcode or service area
- Home, office or other property type
- Number of bedrooms, bathrooms or relevant spaces
- One-off, weekly, fortnightly or other frequency
- Standard clean, deep clean, end-of-tenancy or another service
- Preferred date or start window
- Pets, parking or access information where relevant
- Optional notes or reference photos
Ask only for factors that change the quote
Room count, service frequency, property type and cleaning level usually matter more than a long general description. Structure those as individual questions so they are easy to compare across enquiries.
Keep a free-text notes box at the end for unusual requirements rather than making every customer write their whole request from scratch.
Use service area information early
For local cleaning businesses, a postcode or town can quickly show whether the enquiry is inside the normal service area. Collecting it early prevents time being spent quoting jobs the business cannot take.
If pricing differs by travel zone, the answer can also help staff apply the correct rate or decide whether a travel supplement is needed.
Do not promise a final price when a site check may be needed
Some jobs can be quoted from the information submitted, while larger commercial, heavily soiled or specialist work may still need photos or a visit.
The confirmation message should explain whether the business will send a quote directly or contact the customer for clarification first.
